Digitization and documentation of the files of the Society for Macedonian Studies and creation of a Digital Museum

The subject of the contract is: • the digitization, documentation, and Scientific Documentation of all Documents provided for in this contract from the Library, the Art Gallery, and the archival material, which constitute the cultural heritage of the Society for Macedonian Studies, • the creation of a Digital Museum, including a Digital Museum Online Portal, through which the promotion and advancement of the digitized cultural heritage of the Society for Macedonian Studies will be ensured, both to the public visiting its physical space and to the general public via an online portal to be developed for this purpose, as well as • the procurement of Museum equipment, ready-made Software, and other equipment • provision of other services (training and support for trial and production operation of systems, publicity services, and dissemination of Project results). The services provided are classified under the following Common Procurement Vocabulary (CPV) codes: 72000000-5, 79999100-4, 79131000-1, 80533100-0, 48000000-8, 48800000-6, 79341000-6. The subject of the contract is not subdivided into lots, due to the complementarity and strong interdependencies of the individual actions that compose it, so as to ensure the creation of conceptually complete digital content, the unified operation of systems that compose the project, and to achieve the implementation of specialized digital applications to support the institutional role and responsibilities of the E.M.S.. Cohesion and a unified strategy are critical for the success of the project. The creation of digital content and the development of the promotion and management system are interdependent parts of a unified project. The integrated approach ensures consistency and cohesion in all phases of the project, from design and development to final implementation. The non-subdivision of the contract enhances the quality and security of the project, as unified management reduces the chances of security gaps or incompatibilities between different systems and content. Furthermore, the non-subdivision of the contract can lead to economies of scale, as a single contractor can better utilize resources and offer more cost-effective solutions. The subdivision of the project into lots often increases the total cost due to increased expenses for European Single Procurement Document (ESPD) / Standard Declaration Form (SDF) 3 lots often increases the total cost due to increased expenses for coordination, management, and contractual costs. Additionally, unified project management allows for better coordination and flexibility in changes, reducing the likelihood of misunderstandings, delays, lack of coordination, and conflicts that may arise when different contractors undertake different lots. This also allows for faster decision-making and adaptation to project needs. Offers are accepted for all services described. The estimated value of the contract amounts to one million one hundred and eighty-four thousand two hundred and sixty-two Euros (1,184,262.00€) including VAT 24% (budget excluding VAT: 955,050.00€, VAT: 229,212.00€). After the conclusion of the initial contract, during the implementation of the project and before the expiry of the contract, the Contracting Authority may decide to exercise the option to increase the physical scope of the project (as described herein) by up to one hundred percent (100%) of the contract price.
