Specifications 1. Project Name "Create the Future! Youth Leaders Lab" Space Design Improvement Services 2. Contract Period From the date of contract signing until November 30, 2026 3. Purpose of the Work This work involves renovating a part of the space in the Kitakyushu Municipal Children's Library based on the ideas of "a place in the library where they want to spend their time" proposed by junior high and high school students participating in the "Create the Future! Youth Leaders Lab" (hereinafter referred to as "Lab") conducted by the Kitakyushu Municipal Children's Library.
The objective is to create a new place where junior and senior high school students can spend their time with peace of mind, and to make the library a more familiar place for children, by integrally carrying out space design, selection/procurement/installation of furniture, and layout changes of the target space, while maximizing the opinions and ideas of the Lab participants.
4. Implementation Location Kitakyushu Municipal Children's Library 1st Floor World Picture Books and Maps Corner (4-1 Jonai, Kokurakita-ku, Kitakyushu City) 5. Implementation Details The contractor shall perform the following work in full consultation with the client.
(1) Site survey and current status assessment A. Conduct necessary on-site surveys regarding the dimensions, existing equipment, furniture, lighting, power supply, and traffic flow of the target space.
B. Grasp the current facility usage status and its relationship with surrounding spaces, and create a space plan that does not hinder library operations.
(2) Organization and concretization of Lab participants' ideas A. Thoroughly review the proposals, opinions, and materials from Lab participants provided by the client.
B. For each idea, consider how to concretely reflect it in space design, furniture, and layout, based on its intent.
C. For ideas that are difficult to implement as they are due to reasons such as safety, structural constraints, or budget, propose alternative plans that maximize their intent as much as possible.
(3) Space design and layout plan A. Create the overall space design and layout for the target space based on the Lab participants' ideas.
B. While maintaining the content from the planning proposal as a basis, the final design will be decided after consultation with the client following the contract.
C. If necessary, create floor plans, layout diagrams, perspective views, and other materials that confirm the image after completion.
D. Utilize existing facilities and furniture as much as possible.
(4) Selection and procurement of furniture, fixtures, etc. A. Select and procure furniture, fixtures, equipment, carpets, and other items necessary for the space design.
B. When selecting, consider not only design but also safety, durability, and ease of cleaning and maintenance.
C. Select products suitable for use in public facilities, considering that they will be used daily by junior and senior high school students and other users.
(5) Delivery, installation, and layout changes A. Deliver and install the procured furniture, fixtures, etc.
B. If necessary, move and rearrange existing furniture, etc.
C. For delivery and installation work, fully consider the safety of library users and the impact on library operations, and consult with the client in advance regarding work dates and times.
D. Take sufficient care not to damage facilities, equipment, or fixtures. In the event of damage, promptly report to the client and take necessary measures at the contractor's responsibility.
(6) Consideration for safety, etc. A. Take full precautions to prevent accidents such as user falls, furniture tipping over, etc.
B. Secure evacuation routes and passage spaces, and do not impede the safe use of the facility.
C. When arranging furniture, etc., consider the traffic flow and visibility of users and staff.
D. Comply with relevant laws, ordinances, and other standards necessary for facility management.
(7) Completion confirmation and adjustments A. After installation is complete, confirm the layout, finish, safety, etc., in the presence of the client.
B. If modifications or adjustments are deemed necessary as a result of the confirmation, take necessary measures in consultation with the client.
6. Items to be included in the proposal The contractor wishing to undertake the work shall submit a proposal including the following items based on these specifications.
(1) Specific implementation plan (2) List of planned procured items (3) Implementation system (expertise and deployment plan of project manager and key staff) 7. Deliverables The contractor shall submit the following deliverables to the client by the completion of this work.
(1) Final space design drawing (2) Final layout drawing (3) List of procured items (product name, specifications, quantity, etc.) (4) Photographs after completion (5) Work completion report (6) Other documents deemed necessary by the client The submission method, format, and deadline for deliverables shall be determined through consultation between the client and the contractor.
8. Billing and payment method The contractor shall submit the work completion report and other necessary documents promptly after the end of the performance period.
The client shall pay the contract fee to the contractor's designated account within 30 days of receiving the invoice.
9. Other (1) This work will be carried out in close cooperation with the client, so regular meetings and reporting obligations must be fulfilled.
(2) The copyrights of the participants' works created in this project and related promotional materials shall, in principle, belong to the Kitakyushu Municipal Children's Library and the City of Kitakyushu.
(3) The work, in whole or in part, may not be subcontracted to a third party without the prior consent of the client.
(4) During the contract period, if the client changes part of the work content due to their convenience, a separate contract may be concluded through consultation with the contractor.
(5) If any doubts arise regarding any item of these specifications during the performance of the work, or if there are matters not stipulated in the specifications, they shall be determined through consultation between the client and the contractor.
