Procurement of rental service for textiles needed for Järvi-Saimaan Palvelut Oy's meal and cleaning services

The subject of the procurement is the rental, repair, and laundry service for work clothes required by Järvi-Saimaan Palvelut Oy (hereinafter referred to as the customer) for its meal and cleaning services, as well as the rental and laundry service for changing mats and cleaning textiles, and the transport of all products to the customer's designated locations. The meal and cleaning services provide approximately 4,000 meals daily in about 15 different kitchens in the South Savo region and are responsible for cleaning a total of approximately 85,000 square meters. The total number of employees is about 160, plus a varying number of substitutes. Some employees perform combined duties and therefore need work clothes for both kitchen and cleaning work. During the contract period, the number of work sites and staff may change. The customer rents changing mats for properties where changing mats are included in the cleaning service agreement between the customer and the customer's client. During the contract period, the number of properties and the required mats may change. The customer rents some of the cleaning textiles (cleaning cloths, mops, and other textiles) needed for cleaning work. During the contract period, the quantities and delivery points for the required cleaning textiles may change. As an option, the customer inquires about the possibility of procuring sleeping bags or, alternatively, bedding (duvets, pillows, sheets) for 1-3 early childhood education units through the provider for their client. The quantities presented in this request for proposals and its appendices are estimated quantities and serve only as a basis for submitting a tender. The customer does not commit to any order quantities. A maximum of one (1) delivery fee may be charged for products delivered to the same delivery address, even if the delivery includes products from different product groups. The contract period is a total of three years plus one optional year for the customer, after which the contract continues as a fixed-term contract with a 12-month notice period. The service agreement will automatically end at the end of the basic contract period unless the customer has confirmed the use of the option three months before the end of the basic contract period. The target start date for the contract is November-December 2026 for work clothes, or January 1, 2027, at the latest. For cleaning textiles and changing mats, the target start date for the contract is October 1, 2026. However, the contract start dates can be negotiated with the selected provider. The contract period is calculated from the first delivery.
