Organizational assurance of official representative ceremonies, scientific conferences, ceremonial professional seminars and other events of the Czech Academy of Sciences

The contracting authority is issuing a public contract entitled “Organizational assurance of official representative ceremonies, scientific conferences, ceremonial professional seminars and other events of the Czech Academy of Sciences”, financed from the state budget of the Czech Republic. The aim of the public contract is to contribute to the representation, professionalization, higher quality and further development of public service. Its content complements, among other things, the professional activities of the Czech Academy of Sciences. Subject of performance: - Coordination, organizational and technical assurance of scientific conferences, ceremonial lectures, educational, representative and official events of the CAS and similar meetings focused on research and professional education in the premises required by the contracting authority or secured by the supplier at the request of the contracting authority; - Organizational assurance of the rental of representative premises or training rooms with the possibility of school or Geneva seating for the required number of people and space for catering, with the location of the premises being in the wider center of Prague, and easily accessible by public transport, but at most 10 minutes on foot or by public transport from a metro station – if the event takes place in Prague at the request of the contracting authority; - Organization of catering assurance; - Coordination of technical assurance of meetings of CAS bodies, especially the Academic Senate of the CAS; - Coordination of technical assurance of event streams; - Moderation of events and participation in text creation – in Czech and English (selected events); - Searching for and assuring suitable locations for CAS events (mainly held in CAS premises) and accompanying programs (e.g. dinners, receptions, tours); - Assurance of accompanying programs for events according to the client's requirements/parameters; assurance of cultural performances (e.g. musical ensemble); - Assurance and coordination of the event itself on the day of realization; - Assurance and coordination of activities related to the termination, evaluation and billing of the event; - Organizational assurance of the implementation team. One of the partial goals of the above-mentioned public contract is to underline the prestige and increase the expertise of employees of the Czech Academy of Sciences (and thus employees of its workplaces) in connection with the realization of the subject scientific conferences and ceremonial professional seminars and other events. For this purpose, the contracting authority has decided to carry out this tender procedure aimed at concluding contracts with the selected supplier resulting from this tender procedure, the subject of which will be the provision of performance specified further in this tender documentation. A detailed definition of the subject of this Public Contract is contained in Annex No. 2 of this tender documentation and includes a specification of the scope and content of the subject of performance. The framework agreement is Annex No. 3 of this tender documentation.
