Supervision and customer services for Toijala Multifunctional Hall 16.6.2026-15.6.2028 + option 16.6.2028-15.6.2029 The tender request is for the procurement of supervision and customer services for the sports hall of the City of Akaa in accordance with the service description for the period 16.6.2026-15.6.2028, with a one-year option. The Multifunctional Hall is a sports center completed in 1990, with a base area of approximately 3130 m². The building has an 874 m² sports hall with seating for 600 people, gym facilities, a running track, boxing facilities, as well as other smaller spaces and the necessary ancillary facilities for sports venues, and a lobby café. Address: Köyvärintie 8, 37800 Akaa. The hall is in active use year-round and serves various user groups diversely. On weekdays, the hall is primarily used by schools, sports services, and gym users. In the evenings and on weekends, the hall is available for clubs, associations, companies, and individuals for various sports. The hall offers opportunities for a wide range of ball sports, including volleyball, handball, floorball, badminton, basketball, futsal, and table tennis. The Multifunctional Hall also hosts numerous events, such as games, tournaments, fairs, and concerts. The sports services' card sales (gym memberships, sports passes, etc.) and key management for indoor sports facilities are centralized at the Multifunctional Hall. The number of visitors to the hall is approximately 85,000 per year. The premise is that the Multifunctional Hall serves its users at a high level and broadly, taking into account different user groups. Emphasis is placed on the smooth running of daily operations and the development of activities. General comfort and order, visitor safety, and good and smooth service are of paramount importance. The tender seeks a reliable and experienced contracting partner to manage the daily operations of the Multifunctional Hall independently, responsible for the smooth running of its activities, and with whom the city's sports services can develop the hall's operations. The tenderer must provide the supervision and customer service tasks as per the service description presented by the client, as well as any separately ordered additional work, ensuring that the quality level described in the tender request is met. The tenderer must meet the minimum requirements for the service content. Appendix 1 of the tender request describes the service description, which details, among other things, the minimum requirements for the service content and a responsibility allocation table to clarify the responsibilities of the client and the service provider. The service provider is responsible for the daily operations and smooth running of the Multifunctional Hall (including gym card sales, keys, curtains, grandstand, AV equipment, storage, information, bookings, minor maintenance of gym equipment) independently. The service provider is responsible for the maintenance, supervision, and customer service of the Multifunctional Hall, as well as general order and safety. The service provider manages, among other things, the booking of spaces in the Multifunctional Hall, monitors and statistically analyzes hall usage, guides and supervises the safe use of the sports hall, equipment, and tools, and handles key management for the city's indoor sports facilities. The service provider is a key contact person for customers using the sports hall, sports clubs, partners, and city officials. The service provider is a key party in the successful organization of tournaments, games, and events and is responsible for orienting event organizers to the hall's operations. The service provider has the option to organize small-scale café operations in the designated café space at the Multifunctional Hall. According to the service description, the minimum opening hours of the hall are: 16.8.-31.5.: Mon-Fri 4 PM–9 PM and additionally at least two weekdays (fixed days, agreed for the whole season) 8 AM–1 PM, Sat-Sun 10 AM–6 PM. During summer (1.6.-15.8.) Mon-Fri 4 PM–8 PM and additionally at least one weekday (fixed day, agreed for the whole season) 8 AM–1 PM, Sat 10 AM–5 PM and Sundays closed. The service provider must resource the Multifunctional Hall staff so that there are sufficient resources for both service and supervision tasks at all times when the hall is open. During the hall's opening hours, at least one person must be present who knows and understands the hall's operations, equipment, and systems, and possesses good customer service skills. All personnel involved in providing the service must have a valid first aid training (at least EA1) and a security guard qualification (valid security guard card). All personnel working at the site must have good Finnish language skills.
