Tender for the supply and installation of AV equipment for conference and meeting rooms

The contracting authority wishes to establish a framework agreement for the supply of video conferencing solutions, associated software, maintenance, and various AV equipment. The framework agreement shall cover products and services based on and fully compatible with the contracting authority's existing Microsoft Teams Rooms solution, so that all supplies can be seamlessly integrated into the current infrastructure. Suppliers must offer future-proof solutions and products, where the contracting authority can continuously purchase video conferencing solutions and AV equipment as needed within the duration of the framework agreement. From the start of the framework agreement, there is a major concrete task to be solved. Immediately after the agreement is concluded, the supplier must deliver and install AV and IT equipment for approximately 110 new meeting rooms and a number of common areas in a new building at Tonne Kjærsvej 65, 7000 Fredericia. The building is expected to be ready for employees on January 1, 2027, which means that all meeting rooms must be fully established and functional by this date. The supplier must provide an experienced project manager who can take responsibility for ensuring that the meeting rooms are ready and functional for the opening. Of the new rooms, approximately 30 will be special meeting rooms with special requirements for functionality and capacity, such as management meeting rooms, larger rooms, and project rooms, as well as rooms with advanced video conferencing solutions. In addition, it is expected that the conversion of an existing building into a meeting center will involve the establishment of approximately 30 additional meeting rooms. Finally, the supplier must be able to handle the ongoing replacement and upgrading of AV and IT equipment in existing meeting rooms during the term of the agreement.
