Service for the comprehensive organization of two two-day meetings for 60 people each, in March or April 2025 (Spring Meeting) and in September 2025 (Autumn Meeting), with an option to increase the number of participants by a maximum of 5 for each meeting

The Pomeranian Regional Government is seeking a comprehensive service provider to organize two significant two-day meetings. The first meeting, referred to as the "Spring Meeting," is scheduled for March or April 2025, and the second, the "Autumn Meeting," for September 2025. Each meeting is planned to accommodate 60 participants, with an option to increase this number by up to 5 individuals per meeting. These events are crucial components of the project titled "Building a system for coordinating and monitoring regional activities for vocational education, higher education, and lifelong learning, including adult learning," which is co-financed by the National Reconstruction and Resilience Plan.

The scope of services required includes, but is not limited to, securing hotel accommodation, potentially including pre-event overnight stays if requested. The selected provider must also ensure a minimum of 20 free parking spaces. Essential facilities include the provision of suitable meeting rooms equipped with necessary technical and multimedia equipment. Catering services are also a key requirement, encompassing breakfast according to standard hotel offerings, coffee breaks, a hot lunch, and a buffet-style dinner. Furthermore, an on-site coordinator must be present throughout the meetings to facilitate communication and address any issues as outlined in the Terms of Reference.

These meetings are organized within the framework of the Pomeranian Vocational Guidance System. Their primary objectives are to enhance the professional skills of vocational counselors, foster the exchange of best practices, facilitate networking among participants of the Pomeranian Vocational Guidance System, and promote integration and collaborative work on project-related outputs. The events are to be held within the Pomeranian Voivodeship.
