„Comprehensive organization and technical support of a two-day workshop on June 9-10, 2026”

1. The subject of the order is the comprehensive organization and technical support of a two-day working workshop of the Beneficiary's Team within the framework of the task entitled "Development, implementation and dissemination of a system for electronic document management in public entities", carried out by the Scientific and Academic Computer Network – National Research Institute, on June 9 - 10, 2026, hereinafter referred to as the "Workshop". A minimum of 70 and a maximum of 100 people will participate in the Workshop, with the reservation that the final number of Workshop participants will be provided to the Contractor no later than 3 calendar days before the date of the Workshop. The place of organization of the Workshop and related services should be in a facility or center intended for providing conference and training services and catering, equipped with accommodation and recreational infrastructure, hereinafter referred to as the "Facility". This facility must be located within 165 km of ul. Łukowska 2 in Białystok and within 100 km of ul. Kolaska 12 in Warsaw. The distance will be measured in a straight line, using the 'Measure distance' function available on Google Maps. The standard of the Facility cannot be lower than a three-star standard. The Contractor shall indicate the exact location of the Workshop in the offer submitted in point 2. A detailed description of the subject of the order is included in Annex No. 1 to the SWZ. 3. Based on Art. 222 sec. 4 of the Public Procurement Law, the Contracting Authority informs that the total amount intended to finance the order is: PLN 121,163.15 gross. 4. Order execution period: 1) The agreement is valid from the date of its conclusion. The agreement is concluded for a period of 3 months, counted from the date of conclusion of the agreement, unless the date of the Workshop changes in accordance with point 3 below – in which case, however, the Workshop cannot take place later than within 5 months from the date of conclusion of the agreement. 2) The Contractor undertakes to carry out and provide the services referred to in § 1 of the agreement, on the dates of the Workshop, i.e.: on June 9 and 10, 2026. 3) The date of the Workshop may change in the event of circumstances beyond the Contracting Authority's control, making it impossible to carry out the Workshop on the originally set date, of which the Contracting Authority will immediately inform the Contractor. In such a situation, the Contractor will be obliged to perform the subject of the agreement on the new date indicated by the Contracting Authority, without additional remuneration for the change of date. 4) Services will be performed in accordance with the SOPZ and the Contractor's Offer. 5) The Contractor undertakes to inform the Contracting Authority in writing of any circumstances that may affect the performance of the subject of the agreement by the Contractor immediately, but no later than within 2 days from the date they arise. If the circumstances referred to above make it impossible for the Contractor to properly or timely perform the subject of the Agreement, the Contracting Authority has the right to withdraw from the agreement with immediate effect, regardless of other rights arising from the agreement. 6) The date of completion of the agreement is considered to be the signing by the Contracting Authority of the acceptance protocol without reservations of the last Workshop. 5. The Contracting Authority does not allow for the submission of partial offers. 6. The Contracting Authority does not foresee the possibility of granting an order referred to in Art. 214 sec. 1 item 7 of the Public Procurement Law. 7. From the analysis of the subject of the order, it results that Art. 100 of the Public Procurement Law does not apply. 8. The Contracting Authority does not foresee requirements regarding the employment of persons referred to in Art. 95 of the Public Procurement Law. 9. The Contracting Authority does not foresee the possibility of using the option right. 10. The Contractor may, in order to confirm compliance with the conditions for participation in the proceedings, in appropriate situations and with regard to a specific order, or its part, rely on the technical or professional capabilities or economic or financial situation of entities making resources available, independent...
