Description of Requirement The International Labour Organization (ILO) invites qualified and experienced service providers to submit quotations for the provision of meeting venue, catering and audio-visual services for a meeting scheduled for 18 November 2026 in Karachi, Pakistan. 2. Event Details Date: 18 November 2026 Meeting time: 1000–1500 hours Number of participants: 80–90 persons Seating arrangement: Round-table arrangement 3. Venue Options The service provider shall quote for the provision of services under either of the following venue arrangements: Option 1: Hotel Venue A suitable hotel in Karachi with valid UNDSS security clearance, offering a meeting hall accommodating 80–90 participants in a round-table arrangement. The quotation shall include the meeting hall, catering, audio-visual equipment and all other associated services required for the event. Option 2: ILO Office, Karachi The meeting may alternatively be held at the ILO Office in Karachi, subject to confirmation of venue availability. Under this option, the vendor shall provide the required catering, drinking water, audio-visual equipment and technical support. Meeting hall rental shall not be applicable under this option. 4. Catering Requirements The vendor shall provide the following catering services for approximately 80–90 participants: Morning tea: Tea, coffee and assorted snacks. Buffet lunch: A suitable buffet lunch for all participants. Mineral water: Large mineral water bottles in sufficient quantities for participants throughout the meeting. Catering arrangements shall be provided at the selected venue, including the ILO Office if that option is chosen. 5. Audio-Visual Equipment and Technical Support The vendor shall provide the following equipment and services: One SMD display. Two additional screens. A suitable sound system.
